WarmLine ("we," "our," or "us") operates the autonomous AI SDR platform at warmline.polsia.app. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.
By using WarmLine, you agree to the collection and use of information in accordance with this policy.
Information We Collect
Account information: When you sign up, we collect your name, email address, company name, and payment information (processed securely by Stripe — we never store your card details).
ICP and campaign data: We collect the ideal customer profile (ICP) criteria you provide, including target industries, company sizes, and job titles, to operate the prospecting service.
Usage data: We collect information about how you use the service, including features accessed, emails sent, replies received, and meetings booked.
Communications: We store emails sent and received through our platform in order to provide reply handling and meeting booking functionality.
How We Use Your Information
- To provide, operate, and improve the WarmLine service
- To run autonomous outreach campaigns on your behalf
- To process payments and manage your subscription
- To send you service updates, security alerts, and support messages
- To comply with legal obligations
We do not sell your personal data. We do not share your prospect lists or campaign data with other WarmLine customers.
Prospect Data
WarmLine researches and contacts business prospects on your behalf. This activity targets business contacts in a B2B context and is conducted in accordance with CAN-SPAM, GDPR Article 6(1)(f) (legitimate interests), and applicable laws. Prospects may unsubscribe at any time via the unsubscribe link included in every outreach email.
Data Storage and Security
Your data is stored in encrypted databases hosted in the United States. We use industry-standard encryption in transit (TLS) and at rest. Access to production data is restricted to authorized personnel.
No method of transmission or storage is 100% secure. We take reasonable precautions but cannot guarantee absolute security.
Third-Party Services
We use the following third-party services:
- Stripe — payment processing
- OpenAI — AI language model for prospect research and email generation
- Render — cloud hosting infrastructure
- Neon — database infrastructure
Each of these providers has their own privacy policy governing data they process.
Data Retention
We retain your account data for as long as your account is active. Upon account deletion, your personal data is deleted within 30 days. Campaign and prospect data may be retained in anonymized form for service improvement.
Your Rights
You have the right to access, correct, or delete your personal data. To exercise these rights, email privacy@polsia.app. We will respond within 30 days.
If you are in the EU/EEA, you have additional rights under GDPR, including the right to data portability and the right to lodge a complaint with a supervisory authority.
Cookies
We use session cookies to keep you logged in and analytics cookies to understand how our service is used. You can disable cookies in your browser settings, though some features may not function correctly.
Changes to This Policy
